Home Services Dispatcher/Scheduler

 

POSITION TYPE:        Full-Time, Hourly

LOCATION:                Santa Rosa, CA

WAGE SCALE:           $ 25.00 - $ 30.00 Depends on Experience

The Home Services Dispatcher/Scheduler is responsible for coordinating customer appointments, scheduling technicians and subcontractors, managing daily workflow, and ensuring projects move efficiently from initial contact through completion. This role serves as a central point of communication between customers, field personnel, subcontractors, and internal teams to ensure exceptional customer service and operational efficiency.

 

RESPONSIBILITIES:

Scheduling & Dispatching

  • Schedule and coordinate service calls, installations, inspections, and project appointments.
  • Manage technician and subcontractor calendars to maximize productivity and efficiency.
  • Monitor daily schedules and adjust assignments as needed to accommodate customer needs, emergencies, or workforce availability.
  • Confirm upcoming appointments with customers and communicate schedule changes promptly.
  • Other duties as assigned.

Customer Service

  • Serve as a primary point of contact for customers regarding appointment scheduling and project status updates.
  • Maintain professional and positive customer interactions.
  • Address scheduling conflicts and escalate customer concerns when appropriate.

Administrative Support

  • Enter and maintain accurate customer information within company systems.
  • Track project milestones and assist with workflow management.
  • Review work orders for completeness and proper documentation.
  • Assist with reporting and administrative tasks related to Home Services operations.

Team Coordination

  • Communicate effectively with field staff, project managers, and subcontractors.
  • Coordinate materials, permits, inspections, and other project-related activities when necessary.
  • Support department goals by helping maintain schedule adherence and customer satisfaction metrics.

 

 

QUALIFICATIONS:

  • Previous dispatching, scheduling, customer service, or administrative experience preferred.
  • Strong organizational and multitasking abilities.
  • Excellent verbal and written communication skills.
  • Ability to prioritize tasks and work effectively in a fast-paced environment.
  • Proficiency with Microsoft Office (Outlook, Excel, Teams) and scheduling software.
  • Experience in residential construction, HVAC, plumbing, electrical, or home services is a plus.
