AP/PURCHASING CLERK

POSITION TYPE:    Full-Time, Hourly

LOCATION:              Sacramento, CA

WAGE SCALE:       $20.00 - $27.00

RESPONSIBILITIES:

• Receive, sort and log incoming vendor invoices and bills.
• Perform 3-way matching by comparing invoices against purchase orders (POs) and receiving/delivery slips.
• Follow up with Vendors and Alcal Locations regarding Purchasing questions and discrepancies
• Code invoices to the proper general ledger (GL) accounts, departments, and cost centers.
• Monitor discount opportunities and avoid late fees or finance penalties.
• Serve as the main point of contact for vendor payment inquiries and status updates.
• Resolve purchase order, contract, pricing, or quantity discrepancies with internal departments (like purchasing or receiving).
• Request and maintain updated vendor documentation, such as W-9 forms, tax IDs, and insurance waivers.
• Reconcile monthly vendor statements against internal accounting records.
• Assist with month-end and year-end closing by running AP aging reports and account reconciliations.
• Assist with purchase orders as needed.
• Various other tasks as assigned by management.

QUALIFICATIONS:

• Excellent verbal and written communication skills required.
• Must possess good interpersonal skills and the ability to interact professionally with customers, co-workers and managers.
• Ability to multi-task with excellent organizational skills.
• Excellent customer service skills with an ability to develop strong relationships with locations and customers
• Experience using PC, Printers, Digital Copier and Digital Scanner.
• Knowledge of a variety of software including but not limited to MS Office applications, SAP Easy Access, and Adobe Professional.
• Previous AP / accounting experience preferred
• Regular attendance is required.
