Pacific Coast Companies, Inc. is seeking an enthusiastic, customer-centric Project Coordinator to join our Project Management Office. The Project Coordinator reports to the Director of the PMO and works closely with the management team within the Technology Services Department to provide day-to-day, as well as task-based management and support. They will support a team of Project Managers and Business Analysts working on a portfolio of Technology Services projects.


The Project Coordinator will be self-motivated, have strong organizational and communication skills, be detail-oriented and have an interest in project management. This position is along the career path into project management.


Essentials duties and responsibilities include the following, but are not limited to:

• Provides project-related analysis and coordination across the portfolio of projects
• Supports all phases of the project lifecycle and contributes to the success in the planning, execution and reporting of programs and projects.
• Ensures all documentation is maintained appropriately for each project.
• Take on small-scale project work as assigned.
• Functions as the System Administrator and Subject Matter Expert to configure, maintain, troubleshoot and report on the portfolio management system.
• Responsible for resource management tracking and reporting on resource capacity and demand across the portfolio.
• Creates and maintains weekly status reports, plan of records, project roadmaps and overall portfolio reporting such as project dashboards and key performance indicators.
• Responsible to create and maintain the PMO team page on SharePoint.
• Responsible for managing and maintaining the PMO calendar.
• Responsible for creating and updating methodology and framework documentation, templates, and toolkit documents.
• Collects and prepares data for studies and reports.
• Supports PMO in developing content for several meetings including: monthly operations, Steering Committee, Board of Directors, and budget and strategic planning sessions.
• Support the head of PMO by preparing for team meetings and company functions. This includes preparing technical material to be presented, creating action plans, documenting and maintaining department goals, as well as the technology setup required for each session.
• Act as a communication lead by scheduling, preparing agendas and leading internal team meetings, including note-taking and distributing information following the meetings.
• Serve as a liaison with administrative staff of other departments (in Technology, HR, etc.) to organize and facilitate meetings, conferences, and other special events, as required.
• Develops and maintains collaborative working relationships with project sponsors and key systems users.
• Works with IT managers at all organizational levels and with technology vendors as required by projects.
• Champions best practices.
• Technical writing to include creating, maintaining and updating manuals, procedures, test scripts and other documents.
• Review and edit documents prepared by others.
• Other responsibilities may include managing change requests, providing support on RFP’s, SOW’s, tracking project deliverables and risks.

• Bachelor’s Degree or equivalent combination of education and experience
• 2+ years of professional experience
• Experienced in file management, transcription and other administrative procedures
• Experienced in building flow charts; Visio experience a plus
• Experience with PPM Pro or other project management tracking tool
• Experienced in creating project dashboards and measuring key performance indicators a plus
• Experience supporting project teams a plus
• Must be detail-oriented with an affinity for database procedure, file organization
• Must be well organized, detail oriented, able to multi-task, and reliable
• Knowledge of project management standards, processes, procedures and guidelines.
• Strong customer service background

• Knowledge and proficiency with slide decks, spreadsheets and various project artifacts such as flow charts; Strong Excel skills

Certificates/License: CAPM or comparable certification a plus

Other notes:
In the first six months in the role, this individual will help organize and build the tools and processes of the PMO. The Project Coordinator will be the portfolio management software (PPM Pro) Subject Matter Expert and own the PMO SharePoint site. After the first six months, when good processes and documentation are in place, 50-75% of the Project Coordinator’s time will be dedicated to reporting, supporting the PPM Pro users, monitoring project time tracking and budgeting, etc. The remaining 25-50% will be dedicated to working on projects.
