Inside Sales Representative

H.C. Muddox joined Pacific Coast Building Products in 1980 and now supplies a large distributor network with clay products that include standard face brick, thin brick, flue liners, pavers, pool coping, and structural brick. H.C. Muddox also offers custom shapes, sizes and colors in a range of products.

POSITION SUMMARY: Under the supervision of the Regional Sales Manager and National Sales Manager, this position supports Outside Sales Representatives and customers. This position requires providing sales assistance, general customer service over the phone and in person to walk-in commercial & retail customers, dealers and truck drivers. This role is responsible for supporting and demonstrating the Core Values of Integrity, Safety, Respect, Customer Focus, Quality, Innovation and Financial Success. SUPERVISION RECEIVED: General

ESSENTIAL DUTIES AND RESPONSIBILITIES: include the following. Other duties may be assigned. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.

• Answers phones in a courteous and friendly manner and assists customers with general sales questions.

• Assist customer by making recommendation for brick; quality, color, mortar, admixtures, cleaning products and tools.

• Provide administrative support to upper level management, technical and sales team

• Process sales orders and change-orders received from customers and sales representative, sets up sales orders, terms, pricing, payer, pre-lien data in SAP for initial order.

• Issues invoices, returns for credit, credit and debit memos following the guidelines outlined by policy.

• Process credits for customers as required by accounts receivable.

• Assist in managing location pricing structure with sales teams in SAP, prepare and enter yearly pricing increases.

• Perform stock checks and material availability in SAP.

• Provide copies of POD’s, invoices and credits as requested by sales reps.

• Develops a working knowledge of all products and established procedures.

• Coordinates jobs with dispatcher, arranges deliveries, and schedules availability of material.

• Works with sales team to coordinate customer requests and to help provide superior customer service.

• Handles, organizes, and verifies all information needed on reports and paperwork including freight bill audits and financial reports

• Become knowledgeable of all current, similar and competitive products and recommend installation requirements.

• Provide backup support and assistance to shipping department.

• All other duties and responsibilities assigned from time to time by the company, regional sales manager or general manager.

• Attends safety meetings and abides by all safety rules set forth by company and governmental regulatory agencies; ensures that hazardous conditions are reported and corrected.

• May contact customers by telephone. Customers include masonry contractors, masonry supply dealers, etc.

• Provide marketing support for samples, catalogs and information requests by Sales Reps and Inside Sales Coordinator

• Coordinates sample kit inventory with a minimum of each type on hand at all times.

• Keeps sales office area organized, stocked with samples, and uncluttered.

• Schedule, tracks and quotes inbound and outbound shipments including less than truckload freight (LTL), truckload freight (TL), intermodal (rail) , and expedited freight services

• Plans, purchases and routes transportation services and consolidates shipments to achieve maximum efficiency

• Notifies customers of approximate delivery times

• Facilitates the loading procedures by giving yard personnel advance notification of loading needs

• Maintains accurate records of dispatch logs, billings and trip records

• Attends in-house sales meetings when needed.

• Regular attendance is required and works overtime as needed.

QUALIFICATIONS To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.

• High School education or equivalent required, college degree or coursework is a plus.

• Two years customer service experience preferred. Experience administrative role or in the masonry industry is a plus.

• Good math skills, ability to effectively use a calculator

• Dispatching or trucking experience is a plus

• Engaging verbal and written communication skills with ability to effectively and efficiently communicate with the sales team, contractors, engineers, architects, and owners.

• Aptitude for problem solving and negotiating.

• Highly motivated toward goals.

• Strong aptitude for organizing personal tasks and performing repetitive duties in a dynamic environment.

• Ability to communicate effectively, with peers, customers, truck drivers and superiors a must.

• Essential skills; teamwork, decision-making, and interpersonal skills.

• Driven to consistently deliver the highest quality customer service.

• Ability to motivate team members and distributors.

• Working knowledge of office environment with experience using multi-line phone system, personal computer, printer, calculator, copier, and facsimile machine.

• Required to be proficient in Microsoft Office Suites (Excel, Word, Outlook, PowerPoint).

• Ability to learn and use new computer software tools such as Salesforce or similar programs.

• Must have the ability to use video conferencing software such as Microsoft Teams Meeting.

• Ability to receive on-the-job training required to perform duties.

• Strong accounting skills required.

• Sales experience preferred.

• SAP experience preferred. Salesforce or other CRM experience is a plus.

• Attendance is required.
