POSITION SUMMARY Under the supervision of the Customer Service Manager, this position will work with distributors and contractors and supports the customer service and sales department; and is responsible for supporting and demonstrating the Core Values of Integrity, Safety, Respect, Customer Focus, Quality, Innovation and Financial Success. Performs other related duties as assigned.

ESSENTIAL DUTIES AND RESPONSIBILITIES: include the following. Other duties may be assigned. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.
• Provides administrative support to upper-level management, technical and sales team
• Collects, organizes and analyzes data for specialized reports.
• Expend an effort to continuously learn more about clay brick, building systems, and management responsibilities to become a solutions-based resource for customers and staff.
• Maintain established customer relationships and forge new ones where appropriate.
• Process and manage sales orders and change-orders received from customers inside sales coordinator and sales representatives, set-up sales order, terms, payer, and pre-lien data in SAP for initial order.
• Enter sales orders and change-orders into SAP and distribute to appropriate departments.
• Issues Invoices, Returns for Credit, Credit and Debit Memos following the guidelines outlined in Basalite Policy documents.
• Assist in managing location pricing structure with sales teams in SAP, prepare and enter yearly pricing increases.
• Develops a working knowledge of all products and established procedures.
• Provide marketing support for samples, catalogs and information requests by Sales Reps and Inside Sales Coordinator
• Develop weekly and monthly reports to analyze and guide business decisions to regional and plant managers.
• Update and maintain website content under the direction of Basalite Marketing Department and National Sales Manager
• Responsible for creating and administering content on all social media platforms, such as Facebook, Instagram, and Twitter, to build an audience and ensure customer engagement
• Participates in physical semi-annual inventory counts which includes two weekends.
• Attends safety meetings and abides by all safety rules set forth by company and governmental regulatory agencies; ensures that hazardous conditions are reported and corrected.
• Predictable and Regular attendance is required, and works overtime as needed
QUALIFICATIONS: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.
• Associate degree in business or equivalency (2 years related work experience may be substituted for 1 year of education
• Three years full-time secretarial experience required, experience in the masonry industry preferred

SAP experience preferred. Salesforce or other CRM experience is a plus
• Engaging verbal and written communication skills with ability to effectively and efficiently communicate with the sales team, contractors, engineers, architects, and owners. Spanish a plus.
• Aptitude for problem solving and negotiating.
• Highly motivated toward goals.
• Strong aptitude for organizing personal tasks and performing repetitive duties in a dynamic environment.
• Good communication, teamwork, decision-making, and interpersonal skills.
• Driven to consistently delivering the highest quality customer service.
• Ability to motivate team members and distributors.
• Required to be proficient in Microsoft Office Suites (Excel, Word, Outlook, PowerPoint)
• Must have the ability to use video conferencing software such as Microsoft Teams Meeting
• Ability to receive on-the-job training required to perform duties.
• Strong accounting skills required.
• Working knowledge of office equipment required to perform duties.
• Aptitude for marketing skills including usage of digital and social media.
