POSITION SUMMARY: Under the supervision of the Accounting and Admin Manager, this role is responsible for processing and verifying invoices, entering sales orders, preparing reports, and performing general clerical and front-desk support. It also provides backup to various departments, maintains a clean and safe work environment. Performs other related duties as assigned. Is responsible for supporting and demonstrating the Core Values of Integrity, Safety, Respect, Customer Focus, Quality, Innovation and Financial Success. SUPERVISION RECEIVED: General 

 

ESSENTIAL DUTIES AND RESPONSIBILITIES:  include the following. Other duties may be assigned. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.

 

  • Matches invoices to appropriate receiver tags (and purchase orders when applicable).
  • Reviews invoices for quantity and pricing accuracy and work to resolve discrepancies.
  • Ensures that appropriate account coding is used.
  • Performs general office clerical duties as needed including, but not limited to, answering phones, filing/scanning paperwork.
  • Enters customer sales orders into SAP and excel and assists shipping and receiving department. 
  • Provides coverage at the front desk during employee meal and rest breaks.
  • Prepare reports as necessary. Types correspondence generated by management and other staff. Packaging boxes for shipment.
  • Maintains work area and equipment according to Company specifications for cleanliness and safety.
  • Performs all other duties and responsibilities assigned from time to time by the company or its designated representative.
  • Attends safety meetings and abides by all safety rules set forth by company and governmental regulatory agencies; ensures that hazardous conditions are reported and corrected.
  • Predictable, and regular attendance is required. Must be able to work overtime as needed.

 

QUALIFICATIONS to perform this job successfully, an individual must be able to perform each essential duty satisfactorily.  The requirements listed below are representative of the knowledge, skill, and/or ability required.

 

  • High school education or equivalent plus college level accounting.
  • Five years’ experience in collections and accounts receivable preferred.
  • On-the-job training experience is required to be able to perform duties.
  • Training and experience are interchangeable on a year for year basis.
  • Requires good reading, writing and mathematical skills.
  • Ability to communicate with employees, peers, subordinates, management, customers, outside agencies, etc.
  • Must be familiar with Microsoft Office, Outlook, Excel, and Word. Proficiency in Excel is a plus.
  • SAP knowledge a plus.
  • Ability to operate computer, printer, 10-key, copier, and any other equipment required to perform duties.
  • Ability to work under minimal supervision and to stay on task.
  • Predictable, and regular attendance is required. Must be able to work overtime as needed.

Salary Range: $23-$25/hour depending on experience.
